Official Booking, Refund & Cancellation Policy (2025)

1. Purpose of This Policy
This policy applies to all clients and students who book treatments or courses with Rosa Aesthetics UK or Rosa Aesthetics Academy.
By paying a deposit or booking a service, you agree to these terms.
2. Deposits – Non-Refundable Policy
A deposit is required to secure all appointments and course spaces.
All deposits are strictly non-refundable.
Under UK consumer and contract law (Consumer Rights Act 2015), a business may legally keep a deposit as long as the policy is clear, fair, and explained before payment.
This policy is now publicly displayed and applies to every booking.
3. Why Deposits Are Non-Refundable (10 Fair & Lawful Reasons)
We want clients and students to understand why this rule exists and why it is fair.
Your deposit covers the following:

Reserved Time Slot – once your appointment is booked, that time is blocked out for you.

Loss of Income – last-minute cancellations mean we cannot fill the space again.

Admin & Booking Costs – every appointment requires admin time and system fees.

Product Preparation – many treatments require products to be opened or prepared ahead of time.

Medical Consumables – aesthetic consumables cannot be reused once set aside.

Room & Equipment Costs – treatment rooms and machines are reserved and prepared for your booking.

Staff Time & Wage Allocation – your appointment determines staff planning and hours.

Course Materials (Academy) – student spaces require printed materials, kits, models, and resources.

Insurance & Compliance – bookings activate certain insured responsibilities, even if you do not attend.

Opportunity Cost – another paying client or student could have taken your slot.
These reasons meet UK requirements for fair, proportionate, and transparent deposit terms, meaning they are enforceable and lawful.
4. Cancellation & Rescheduling Policy (24 Hours Notice)
To keep the business running smoothly:

If you do not attend your appointment (“no-show”), the deposit is forfeited.

For Academy training: missed days or lateness may result in losing your space with no refund, as courses cannot always be rescheduled.

In exceptional cases (illness, emergencies), we may allow the appointment to be moved once, but this is at our discretion, not an obligation.
5. Legal Basis for the Non-Refund Policy

UK law allows a non-refundable deposit when:

6. Aesthetics Industry Standards (Treatments)
All clients agree to:

Provide honest medical information

Attend patch tests if required

Follow all aftercare given

Understand that results vary person to person

Understand that outcomes cannot be guaranteed

Understand that deposits are not returned if treatment cannot proceed due to withheld medical information
7. Academy (Training) Terms
Students must:

Attend all sessions

Follow hygiene, safety, and professional standards

Understand that training fees and deposits are non-refundable

Attend assessments and practical days
-
Accept that certificates may not be issued if standards are not met
8. Cooling-Off Rights (Online Bookings)
If you book online, you may have a cooling-off period under UK law unless:

You request the service to start within the cooling-off period

You purchase a course with immediate access to materials

You agree that deposits are non-refundable
-
You book a specific appointment date (this removes the cooling-off right)
Once you book a treatment date or receive course access, the cooling-off period no longer applies.
9. If We Cancel
If Rosa Aesthetics UK or Rosa Aesthetics Academy must cancel your appointment or training for any reason, you will be offered:

A new date
or -
A full refund of your deposit
This only applies when we cancel, not the client or student.
10. Agreement to Terms
By paying a deposit or booking an appointment/course, you confirm that:

You have read and understood this policy

You accept all terms in full

You understand deposits are non-refundable
11. Client Responsibility for Rebooking (Final Policy Clause)
Due to the high volume of clients and students within our clinic and academy, it is the client’s full responsibility to arrange all future, follow-up, or package appointments. We will always offer the option to rebook your next session on the day of your treatment; however, if this is not done, it becomes your duty to contact us directly and secure your future appointment. We do not chase, remind, or automatically book appointments on behalf of clients, and all availability operates on a first-come, first-served basis. Any unused or expired sessions caused by failing to book in time cannot be refunded, extended, or transferred. By booking with us, you acknowledge this responsibility and agree to manage your own appointment schedule accordingly.
